The permanent record
for every site youare responsible for.
Keepstead is the AI compliance layer between asset owners and the contractors who work on their physical sites. Scattered paperwork — licences, insurances, SWMS, inductions, inspections — consolidated into an approvable state, with a Site Compliance Passport for every site that answers the questions boards, insurers and auditors actually ask.

What lives in the record
Every document that proves a site is compliant.
In one place, for one site or ten thousand.
Upload once. Keepstead keeps a permanent record for each site — the certificates, the people, the work, the inspections and the consequences — and links each item back to the site, the contractor and the timestamp it came from.
The wedge starts narrow: contractor and vegetation-risk compliance for organisations managing large property portfolios. From there, it expands horizontally into grounds, pest, fire, electrical and broader facilities maintenance.
How the AI reads evidence
Upload what arrives. Keepstead reads it the way an auditor would.
When a contractor uploads a certificate, policy, SWMS, induction log or inspection report, Keepstead extracts the structure out of it — the named insured parties, coverage limits and expiry dates on a certificate; the hazard rating, recommended works and timeframes on a report — and writes it against the right site and contractor. Inconsistencies surface as findings, not buried in a PDF.

The two sides of the wedge
Asset owners pay for the passport.
Contractors join free, by invitation.
Keepstead embeds distribution in the product: every contractor an asset owner invites consolidates their evidence for free, gets a competency matrix, equipment register and prequalification pack, and opens a second revenue stream through company profiles.
Boards, insurers, auditors ask these questions.
- Which contractors currently hold expired insurance?
- Which high-risk issues remain unresolved across hundreds of sites?
- Which annual vegetation inspections are overdue?
- Which recommended works have sat open past ninety days?
The Passport answers them across one site, a portfolio, or an entire statewide program — with the underlying evidence linked back to the document and the contractor record.
